Information We Collect
We collect account and profile details such as name, email, school, graduation year, major, role interests, preferred locations, work authorization, and sponsorship preferences.
If you sign up, sign in, or connect with LinkedIn, we receive its basic account details and refresh your name and profile photo in Ambees. We keep your Ambees name edits and existing account email. This refresh happens when you use LinkedIn, and does not import work history, education, or skills. We do not retain LinkedIn access, ID, or refresh tokens.
You may add a private explanation of your visa or work permission, including dates, restrictions, sponsorship needs, or uncertainty. You review and can edit or remove this explanation. It is not published to employer talent search, converted into career-matching claims, or used to infer legal eligibility.
We collect documents you upload, such as resumes and transcripts. These documents may contain sensitive information, and you should only upload materials you are comfortable using for recruiting.
We may collect career conversation text, extracted preference tags, reusable application answers, application packets, application activity, saved roles, passed roles, deadline tracking, and basic device or log data needed to operate and secure the service.
For recruiters, we collect hiring-brief conversation text, draft criteria, and the brief you review and confirm. If you speak during a briefing, we send the recording to our speech provider for transcription and do not store the audio in Ambees. Your draft conversation is private to your recruiter account. A hiring brief does not become a public job posting; you separately review the information you choose to submit for publication.
Your private career profile can include experience, projects, coursework, achievements, the source you reviewed, and the skills you choose to reuse. You can edit or remove these entries and choose separately whether each entry contributes to matching or cover-letter drafts.
If you choose the voice career conversation, or record a spoken answer to an interview-practice question, your microphone audio is sent to our speech provider so it can be turned into text. Ambees keeps the transcript of what you said. We do not keep a recording of your voice.
If you choose to provide visa, disability, veteran, demographic, accommodation-related, or other sensitive information, we use it only for the application or support purpose you select. We do not infer protected-status answers from your profile, documents, or voice.
How We Use Information
We use student information to create profiles, recommend roles, support applications, track deadlines, prepare interview or onboarding materials, and improve matching quality.
We use application and interaction history to avoid showing the same roles repeatedly and to make future recommendations more relevant.
When you queue an application, we freeze the role, profile, answers, and document versions into a reviewable packet. If you explicitly enable auto-submit, we may submit eligible packets for you, subject to the mandatory pauses described below.
Artificial Intelligence
We use AI models to read your uploaded documents into a structured profile, to help draft cover letters you can edit before sending, and to help employers search and shortlist candidates. AI-assisted drafts and extracted profiles are clearly labeled, and you review and control anything before it is shared.
AI may help identify form fields or prepare fact-grounded resume and cover-letter wording. It is not permitted to invent experience or credentials, answer protected-status questions, accept legal attestations, bypass CAPTCHA, or perform the final submission click.
For employer talent search, a transparent scoring engine ranks candidates against an employer's stated criteria and a model reviews a small shortlist for fit. Ranking uses your skills, experience, coursework, and academic band, and, on the seven-category profile, the strengths, work style and goals you kept at review. Some of those strengths are noted by Ambees from what you said in your conversation; they are used only after you keep them. Ranking never uses voice, tone, accent, speaking pace, emotion, or traits you have not reviewed. A human employer makes every hiring decision; the tools inform, they do not decide.
The career conversation guide is an AI, not a person, whether you talk or type. It asks the questions, and a model reads your answers to suggest a profile that you review and can edit or clear before anything shapes your matches. If you turn off "Use my answers to improve my matches", nothing is derived from your answers at all.
The recruiter briefing guide is also an AI. Relevant hiring context and answers go to our AI provider to propose editable requirements and follow-up questions. Recruiter voice is used to transcribe the words, never to assess accent, tone, confidence, emotion, or personality. Private briefing notes and transcripts are not shown to candidates.
We do not analyze how you sound. An earlier version of the voice conversation offered an opt-in analysis of tone, speaking pace, and answer timing. That analysis has been retired and the data it produced was deleted on September 20, 2026. Your voice, accent, pace, and tone are never scored.
To provide these features we send relevant text to OpenAI or Anthropic, depending on the feature. Cover-letter drafting and its grounding check use Anthropic; career conversations, recruiter briefings and speech transcription use OpenAI. Their commercial API services do not train on customer content by default. Standard API retention is generally up to 30 days, with exceptions for safety, legal requirements, and services or agreements with different retention settings. We do not sell your information. If we change AI or speech providers, this page changes at the same time.
When you talk to the career conversation guide, ElevenLabs carries the call: it runs the microphone, decides when you have finished speaking, turns your speech into text and speaks the guide's words. For some students the guide's questions are also written by a model ElevenLabs runs, prepared from your resume and the choices you made at sign-up so the questions are about your own experience. Your voice is not recorded. ElevenLabs holds the text of the call while it runs; we collect it when the call ends, and ask ElevenLabs to delete its copy. That deletion is scheduled, not instant, so the text can remain with ElevenLabs for a short time afterwards. Ambees never trains models on your conversations, and never allows a provider to do so.
Authorized Ambees staff may review career conversations to fix problems and improve quality.
How We Share Information
You are hidden from employer talent search by default. Employers only see you when you apply to their role, or when you explicitly publish your profile to verified employers — and even then you control whether your exact GPA, work authorization, and document details are shown. Your resume, transcript, and cover letter stay private until you apply.
We share profile and application information with employers only when you apply, ask us to share it, or use a feature that clearly sends your information to that employer.
Raw conversations, and quotes from them, are never published to employer talent search. On the seven-category profile, marked “Visible to employers” once you publish, employers who can see you are shown the summary you approve, the experience entries you mark for matching, and the skills, strengths, work style, goals and timing you kept at review. Your minimum pay, conditions and work-permission details are not shown. If you enable an entry for cover-letter drafting, details from it may appear in a letter you choose to send. Uploaded documents and other saved profile information remain separate sources even when an individual library entry is disabled.
We may share limited information with service providers that help us host data, store files, send messages, provide AI features, analyze reliability, or operate the platform.
For application automation, Browserbase may host an isolated browser session used to interact with an employer's application system. If you separately connect email access, Composio may provide the limited OAuth connection for the purpose you select, such as one-time-code retrieval or recruiter-status messages. Those permissions are independent and can be revoked.
Employer application systems, including Greenhouse, Lever, Ashby, and Workday, receive the information in a packet only when you approve it or have explicitly enabled eligible auto-submission.
We may disclose information if required by law, to protect users, or to prevent abuse of the service.
Your Choices
You can update your profile, replace uploaded documents, change preferences, control your employer visibility, and export or delete the information associated with your account at any time from your account settings.
You can review and edit a packet before submission unless you explicitly enable auto-submit. Ambees still pauses for unknown required fields, factual certifications, electronic signatures, protected questions, assessments, CAPTCHA, multi-factor authentication, expired sessions, changed forms, and uncertain submission outcomes.
You can separately authorize Ambees to check clearly labelled employer application terms and privacy agreements for jobs you choose to apply to. These agreements may create obligations between you and the employer. The permission starts off; we record the wording version and your acceptance or revocation date. Turning it off stops future assisted checks, including in queued applications, and does not undo agreements already accepted. Separately requested waivers, arbitration agreements, background checks, payments, optional marketing, and mixed or unrecognized checkbox statements still need your review.
When you delete your account we revoke connected email access and stored browser contexts, delete profile documents, generated application files, receipt screenshots, applications, packets, conversations, extracted profiles, and related records. Residual copies in encrypted backups are purged on our normal backup rotation when permitted by law.
Retention
Verified submission receipts remain attached to your application so you can confirm what happened. Diagnostic screenshots are disabled by default and, if captured for troubleshooting, are scheduled for deletion after seven days.
Career conversation transcripts and the profile you approved are kept with your account until you delete them or your account. A conversation you leave unfinished is saved as a draft so you can resume it, and the draft is deleted when you finish the conversation or restart it. The plan prepared from your resume for a spoken conversation is kept only until your documents or sign-up choices change, and is deleted with your account.
One-time codes are handled transiently and are not stored in Ambees's database or logs. Browser and email provider identifiers are treated as private operational data and are not exposed in account exports.
Security
We use reasonable technical and organizational safeguards to protect student information. No online service can guarantee perfect security.
Reusable sensitive application answers are encrypted with authenticated encryption and versioned keys. Access to receipts and generated documents requires an authenticated, authorized request.
Do not upload documents or details that you do not want used for recruiting or platform matching.
